Sometimes that is right. But when we spend a day with a team and watch where the hours go, a surprising share of the week goes on work that follows the same steps every time. Software can take most of that over, safely, for a fraction of a salary. These are [**the five jobs we automate most often**](https://vuelance.com/services/ai-solutions), roughly in the order we would tackle them. ## **1. Answering the same enquiries** Look through your WhatsApp and inbox for a week and sort the messages. For most businesses, a big share are the same dozen questions: prices, timings, location, what is included, how to book. An assistant trained on your own content can answer those instantly, at any hour, and pass everything else to a person. Your team stops pasting the same reply forty times a day, and customers stop waiting until morning for a simple answer. ## **2. Qualifying and following up leads** Leads go cold because nobody replied in time, or nobody followed up. Both are easy to automate. A new enquiry can get an immediate reply, a couple of short questions about what they need, and a place in your CRM tagged by budget or urgency. Then the follow-ups: a reminder after two days, a nudge after a week, a note to the salesperson when someone opens the quote. The salesperson still does the talking. They just stop being the only thing standing between a lead and silence. ## **3. Typing up documents** Invoices, purchase orders, application forms, delivery notes. Somebody reads each one and types it into another system. Modern document tools can read these, pull out the fields and fill them in for a person to check. The checking matters. We set these up so the software does the typing and a person approves anything it is unsure about. Mistakes get caught, and the approver spends minutes where the typist spent hours. ## **4. Booking, reminders and rescheduling** Every back-and-forth about a time slot is a small interruption. Online booking with automatic confirmations, a reminder the day before and a simple link to reschedule removes most of them. Clinics, salons, consultants and training centres feel this one first, because reminders alone cut no-shows, and every no-show is an empty hour already paid for. ## **5. The weekly report** Plenty of owners have someone spend Friday afternoon pulling numbers out of four systems into a spreadsheet. Sales, leads, ad spend, stock. That report can build itself from the sources and land in your inbox or on WhatsApp every Monday, in the same format each week, with no copy-paste errors. ## **What to leave with people** Automation is good at repetitive steps with clear rules. It is poor at judgement, and it should not make decisions that are expensive to get wrong. Keep these with your team: - Pricing exceptions, refunds and anything that changes a contract. - Complaints, where the customer needs to feel heard by a person. - Hiring decisions, and anything involving personal or health data. - Final approval on money going out. ## **How to start without wasting money** Pick one job, not five. Choose the one that eats the most hours and has the clearest rules. Measure how long it takes today, automate it, and run the new process alongside the old one for two weeks. If the numbers hold, switch over and move to the next. Done that way, the first automation often pays for the second. And when you do hire, the new person spends their day on work that actually needed a human. **// Keep reading** ## Recommended for you [**All articles**](https://vuelance.com/blog) - ### [Generative UI, one year later](https://vuelance.com/blog/generative-ui-a-year-later) ChatGPT now answers with interactive charts and calculators, and other companies' apps live inside AI assistants.
