Here is the small set of jobs an assistant can do well today: answering from your own content, guiding a visitor to the right page, and handing over to a human at the right moment. The little bubble in the corner opens, offers three canned buttons, then fails the first real question anyone types. People learn fast to close it. That is a shame, because the technology underneath has moved a long way in two years. [**A modern assistant**](https://vuelance.com/services/ai-solutions) can read your whole website, your price list and your help pages, and answer in plain language. The problem is rarely the model. It is that nobody decided what the assistant is for. Here is the short list we work from when a client asks for one: three jobs it can do well today, and a handful of things it should never be allowed near. ## **Job one: answer from your own content** The most useful thing an assistant does is answer the questions your team already answers twenty times a week. Opening hours. Whether you deliver to Sharjah. The difference between your two packages. Whether the course has a weekend batch. The important word is "your". A good assistant answers from your pages, your documents and your policies, and nothing else. If a visitor asks something your content does not cover, it says so and offers a person. It does not fill the gap with a confident guess from the wider internet. That one rule removes most of the horror stories. The assistant that invented a refund policy, the one that quoted a competitor's price: both were allowed to answer from general knowledge. Keep it on your own material and the failure changes from "wrong" to "I don't know". Customers forgive the second one. > A good assistant would rather say "I'm not sure, let me get someone" than give a smooth, wrong answer. ## **Job two: take the visitor to the right place** Most websites have the answer somewhere. The visitor just cannot find it. They land on the home page, scan the menu, and none of the labels match the words in their head. An assistant can close that gap. Someone types "do you do apps for restaurants" and, instead of a paragraph, gets taken to the page that shows your restaurant work, with a line on why it is relevant. Someone asks how to change a booking and lands on the booking screen with the right button pointed out. Done well, people say what they want in their own words and the assistant walks them there. It works because the answer already exists on your site; the assistant is doing navigation, not inventing content. ## **Job three: hand over to a human at the right moment** The best assistants know when to stop. Some conversations should reach a person quickly: - The visitor is ready to buy and wants a quote or a call. - They are upset, or describing a problem with an order. - The question involves money, contracts, health or anything legal. - They have asked twice and the answer did not help. A good handover passes the whole conversation along, so your team does not open with "how can I help you?" after the customer has already explained everything. For most businesses we work with in the Gulf and India, that handover goes to WhatsApp, because that is where the sales team already lives. Measure it. If almost nobody gets handed over, the assistant is probably trapping people. If almost everyone does, it is not answering enough on its own. ## **What it should never do** This list matters as much as the first one, and it is the part most vendors skip. - Make up prices, discounts or delivery dates. If they are not in your content, the answer is "let me check". - Promise refunds, exceptions or anything that changes a contract. A person signs those off. - Ask for card numbers, passwords or ID documents in the chat. - Pretend to be human. Visitors should always be able to tell they are talking to software. - Give medical, legal or financial advice beyond what your own published pages say. None of these are hard to enforce. They are instructions and settings, written down before launch and tested against the awkward questions your team has actually been asked. The trouble starts when nobody writes them down and the assistant goes live on its defaults. ## **How to tell if yours is working** Three numbers tell you most of what you need. How many conversations end with the visitor getting an answer or reaching the right page. How many get handed to a person, and how quickly someone picks them up. And how many enquiries arrive through the assistant that would otherwise have been a phone call, or nothing at all. Read the conversations too, weekly for the first month at least. They are the most honest feedback your website will ever get. You will find the questions your pages do not answer, and fixing those pages helps every visitor, including the ones who never open the chat. If you are thinking about adding an assistant, start smaller than you planned: one job, done well, on your own content. Add the rest once you have seen what people actually ask. **// Keep reading** ## Recommended for you [**All articles**](https://vuelance.com/blog) - ### [Generative UI, one year later](https://vuelance.com/blog/generative-ui-a-year-later) ChatGPT now answers with interactive charts and calculators, and other companies' apps live inside AI assistants.
